RON Approval Checklist for Title Companies, Lenders, Banks, and Credit Unions

A RON approval checklist for title companies, lenders, banks, and credit unions. Confirm document eligibility, witness rules, identity, investor requirements, and county recorder acceptance before scheduling.

Send the signer location, deadline, number of signers, number of notary seals, page count, witness needs, and whether signers will attend together. Eligible files are completed through secure, MISMO-compliant platform workflows.

Quick Answer

What should a closing team approve before scheduling RON?

Before scheduling remote online notarization, confirm the number of signers, whether they attend together or need split sessions, the number of notary seals, the page count, and witness requirements. These details help estimate time, platform handling, witness coordination, and quote amount. Also confirm electronic signing, the notarial certificate, lender and title approval, underwriter and investor requirements, county recorder acceptance, identity, and any eNote or eVault step.

Who this is for

  • Title and escrow officers clearing RON conditions
  • Lender, bank, and credit union closing desks
  • Mortgage servicers
  • Closing coordinators and signing services

When this works

  • Each approval that applies to the file is yes, or the open item is owned by the closing team rather than assumed.
  • The signer can pass identity verification and join the session.
  • The secure workflow matches the instructions.

When this may not work

  • Any required approval is still no or unknown.
  • Recording applies and the county has not confirmed the format.
  • The file is an eNote or full eMortgage that must use the lender's own ecosystem.

Quote factors to confirm first

These details help us estimate time, platform handling, witness coordination, and quote amount. For a defined seller file, also open light seller package support, remote seller package support, overseas seller closing package support, or real estate power of attorney support.

  • Number of signers
  • Whether signers will attend together or need split sessions
  • Number of notary seals expected
  • Number of pages
  • Witness requirements

Identity verification readiness

KBA may be required for some title, lender, mortgage, or investor workflows. Other eligible RON workflows may allow biometric identity verification with credential analysis, especially for signers with no U.S. SSN, thin U.S. credit history, or international identity records. The receiving party's requirements control.

Title and lender RON approval checklist

Work the list in order. A later yes does not cure an earlier no. Title/lender RON approval, title underwriter approval, investor permission, and county recorder acceptance are separate questions.

  • Is the document eligible for electronic signing?
  • Does the document require notarization?
  • Does the notarial certificate fit a remote online workflow?
  • Has the lender approved RON?
  • Has the title company or settlement agent approved RON?
  • Has the title underwriter approved RON?
  • Does the investor allow the workflow?
  • Will the county recorder accept the final document, if recording applies?
  • Are witnesses required?
  • Are witnesses remote, in person, or provided by the closing team?
  • Is the signer domestic or international?
  • Does the signer have acceptable government-issued photo ID?
  • Does the signer need a U.S. SSN, or can the supported international workflow verify identity another way?
  • Can the signer complete identity verification?
  • Does the signer have a stable device, camera, microphone, and internet?
  • Is the signer instructed not to sign before the notary session?
  • Are there eNote, eVault, MERS eRegistry, or investor requirements outside the notarial act?

eMortgage and eNote caution

For full eMortgage or eNote transactions, the lender and its approved eClosing/eVault ecosystem control the required platform, eNote language, registration, storage, delivery, investor requirements, and post-closing process. iRemoteNotary supports the notarial act when that workflow is approved.

Eligible sessions are completed through secure platform settings designed for MISMO-compliant RON workflows, including identity verification, audio-video session handling, electronic signatures, tamper-evident notarized documents, notarial records, and audit-trail support.

What to confirm before scheduling

  • Walk the checklist on this page before scheduling.
  • Keep lender, title, underwriter, investor, and recorder answers separate.
  • Identify any eNote, eVault, MERS eRegistry, or investor step that sits outside the notarial act.

What information to send

  • Number of signers
  • Whether signers will attend together or need split sessions
  • Number of notary seals expected
  • Number of pages
  • Witness requirements
  • Signer location and time zone
  • Deadline and whether the file is same-day or after-hours
  • Document type, such as a seller package, buyer package, borrower package, affidavit, or servicing document
  • Title, lender, bank, credit union, or servicer instructions
  • RON approval status from the receiving team, underwriter, and investor, if already known
  • Recording requirements, if the document must be recorded
  • Any eNote, eVault, MERS eRegistry, or investor requirement that sits outside the notarial act

Information a closing-team assistant should collect

If you are a title, lender, bank, credit union, or closing-team assistant gathering information for a notarization request, collect the signer location, deadline, number of signers, whether signers will attend together or need split sessions, number of notary seals expected, number of pages, witness requirements, document type, and any known closing instructions. These details help estimate time, platform handling, witness coordination, and quote amount.

iRemoteNotary performs the notarial act. It is not a lender, title company, settlement agent, attorney, title underwriter, recorder, document preparer, eVault provider, investor, or closing platform provider. It does not decide legal sufficiency, loan eligibility, title approval, investor eligibility, recording acceptance, or whether a county recorder will accept the document.

FAQ

If the platform workflow is MISMO-compliant, can we skip lender approval?

No. A MISMO-compliant RON platform workflow describes the session environment. The lender, title company, underwriter, investor, and recorder still decide whether this file may use it.

Who confirms county recorder acceptance?

The closing team, title company, or recording contact confirms it. iRemoteNotary does not decide whether a county recorder will accept the document.

What if the signer is abroad and has no U.S. Social Security number?

Ask whether the supported international identity workflow can verify identity another way. A foreign passport may be usable. Verification is not guaranteed, and the lender may still need a Social Security number for underwriting.
