iRemoteNotary Service Standards
iRemoteNotary is designed to provide a consistent online-notary experience as the service grows. These standards describe the expectations that support eligible sessions completed through iRemoteNotary and the requirements that participating online notaries are expected to follow.
Commission and Authorization
A notary performing a session must hold an active notary commission and any remote online notarization authorization required by the law governing that commission. The notary must use a platform and procedures permitted for the session.
Identity Verification
Sessions must use the identity-verification process required by applicable law and the approved RON platform. Depending on the signer and platform, this may include credential analysis, biometric verification, knowledge-based authentication for eligible domestic workflows, or another permitted identity-proofing method.
International workflows are written and operated around supported identification, credential analysis, and biometric identity verification.
Live Communication
The signer and notary must communicate through the live audio-video process required for the notarial act. The notary must be able to confirm identity, communicate directly with the signer, observe the signing when required, and assess whether the signer appears willing and aware.
Document and Certificate Boundaries
The notary may identify missing information, incomplete certificates, witness requirements, or operational issues that prevent the session from proceeding. The notary does not select legal language, choose a notarial act for a signer, prepare legal documents, determine legal sufficiency, or provide legal advice.
Privacy and Security
Documents, identification information, recordings, journal entries, and customer communications must be handled through appropriate secure systems and only for legitimate service, compliance, and recordkeeping purposes.
Customer Communication
Customers should receive clear information about pricing, identification, witnesses, device requirements, scheduling, document delivery, and any known eligibility limitation before the session when practical.
Session Records
The notary must complete all journals, recordings, electronic certificates, seals, and retention requirements required by applicable law and the RON platform.
Quality and Escalation
Sessions that cannot proceed safely, lawfully, or accurately should be paused, declined, reassigned, or escalated. iRemoteNotary may review service issues, customer feedback, technical failures, documentation problems, and compliance concerns to improve the customer experience and protect the integrity of the service.
Network Growth
As iRemoteNotary expands access to qualified commissioned online notaries, participating notaries will be expected to follow these service standards and any additional onboarding, platform, privacy, and quality requirements established for the service.
